First of all a couple of notes:
- I have started a new thread on this topic so we can focus on the plan moving forward. I encourage the discussion to move to this thread.
- This will be the first of three posts. As there are 30 action items it was decided to split this up by timing and post over the next week or so.
- If you don't see a program discussed earlier or proposed on the other thread, please wait until Part 3 is posted. If it isn't there then, we can then address.
- At this time my plan is to add part 2 and part three to this thread so we can confine discussion to this area.

PART 1 (Posted to Boardnet and Clubnet)
"To the Board, Club Leadership, Volunteers and those who lurk,

As the result of efforts of many individuals, the following tactics have been developed and approved to move forward. Here is Part 1 of this plan. Parts 2 and 3 will be released over the next few days.

It is our plan to have all of the following programs up and running next week.

OFFER HALF PRICE STARTS TO NEW ADULTS AT A MEETS (Schorr) - Target surrounding clubs to get members to try an A-meet.

FORWARD A MEET CALENDAR LINK TO CLUBS AND MONITOR PROGRESS (Tryson) Make A-meets more visible to orienteers that frequent club sites.

A MEET CONSULTANT HOTLINE (Goodwin) - Establish help desk for A meet directors, or clubs considerin hosting an A-meet. Peter Goodwin will act as an ombudsman and direct your questions to the proper person.

CLUB STARTS COMPETITION (Schorr) - Establishment of a club starts competition for 2011. Separate classifications for large and small clubs.

MEMBERSHIP RENEWAL AND EMAIL (R. Shannonhouse) - Add a reminder email to the current postcard system. Call attention to the new on-line renewal system.

LAPSED MEMBER REMINDER (Fluegel) - Reminder to those whose memberships have lapsed. It is our hope that a member is just late in renewing. Will also forward a brief survey to determine why a member is leaving so we can address those shortcomings in the future.

MEMBERSHIP DRIVE CONTEST (Schorr, R. Shannonhouse) - Establishment of a contest to drive OUSA membership among charter clubs.

Note: Should you have questions about the abover, don't hesititate to post to this site. Also note that more programs are rolling out in the next week. These are being staged by due dates.

Some good ideas in here. I'll do my best to wait until the other parts are posted to fully comment.

The A MEET CONSULTANT HOTLINE seems especially good. The flip side of that is to promote the idea and let clubs that might be sitting on the fence that this resource is available, and to have them use it.

My general hope with this is to see as many things oriented towards "discovering" orienteering: e.g., Glen's KY stuff, Ali's ESPNW interview, etc... of course you need to have opportunities to orienteer when people want to, but I still think there is inaccurate (and wholly inadequate) understanding/apprehension of sport orienteering in this country. If we don't have the $s for nationwide TV, let's do our best to put our most compelling goods out there... others may disagree on this, but I think those goods include an articulate, personable ED and articulate, personable national team athletes.

Maybe I haven't been paying attention and maybe this is a bit premature, but who "pays" for the half price starts? The federation, the club, or both? And is half-price before or after federation and/or multi-race or package discounts? And will the sanctioning fees be half-price, too?

e.g. (30/2) - 4 = 11 vs (30/2) - 2 = 13 vs (30-4)/2 = 13 vs (30-2)/2 = 14

Also in regards to the half price starts, how is that expected to work into registration? Do we now have to add a different price category to our registration systems? Is it up to the club to track all of this?

If the club only collects half the entry fee, how and when is the club reimbursed by OUSA?

The half price starts are limited to new adults only. This is funded by the gift to offset the lost income. We wil work directly with the event directors.

Yes, I know they are often half price already, but there should be an additional discount, maybe 25% off, just to at least appear fair.

I'm also thinking...

New = no ranked races, ie, not on the rankings list.

Any idea how O-signup could be adapted to this?

That's what I'm trying to get at, GuyO. Looks like deducting 50% of the race fee before any discounts is what is needed, and that amount being simply reimbursed from the gift. Then, sanctioning, surcharges, federation discounts or whatever are paid and everything comes out in the wash.

A checkbox would suffice. (And of course a little programming!)

If the person is eligible they could just send in a claim form to USOF (sorry, Robin!) and get sent a Visa cash card or something and clubs/events would not have to deal with this issue hardly at all. USOF is in a better position to verify eligibility anyhow.

An intermediate plan would be to allow the eligibility checkbox on O-signup and the request could be sent directly by the registrar to USOF for fulfillment. (Still sorry, Robin!) These rebates would only be fulfilled once the event was over - in case of cancellation - so all the requests could be submitted and fulfilled at one time.

The cash card could be targeted or not. What if it was targeted to a sponsor like REI or some O-gear outfit (sorry Glen!) and maybe the sponsor would let USOF have them at a discount making the money go farther.

This is not onerous on the part of the participant and the payback is significant. If I was a (real) newbie I would definitely give it a shot!

I would not want this to be like mail-in rebates, where many of the product buyers don't bother with the hassle of trying to get the rebate. To be attractive, it has to be easy for the newbie -- as well as the host club.

It should really be programmed into o-signup so that when you tick a checkbox it does a search of an OUSA database and if you're not in it you get the discount. If you're in the OUSA member database then o-signup refuses to give you the discount.

Actually, USOF does not grant real time access to their membership database. It would be great if they did. But this promotion is for people who have not competed at an A-Meet before - whether they are USOF members or not, I presume.

By the way, these people won't be new to orienteering, just to attending A-meets.

How soon can this be implemented? Can this offer be made for a population of adventure racers and other outdoorsy people that, while not necessarily members of a USOF chartered club, are being poked right now to possibly attend the upcoming Keystone Capers meet a month from now?

Juniors were not included because a very large percent of any interscholastic event are "new" to A-meets. The juniors get their own discount already. The idea is to make it easier for an adult to "try" an A-meet which has larger fees than local meets. The thought is that after they go to one, they will go to more.

As I can see, orienteering is in most countries like an isolated island far away from the mainland. You need to be born there or get married to someone who lives there to get involved. That's not a big deal if island is large enough like it is here in Scandinavia, you quite easily get born here to O or get married to someone who does O, but if island is tiny it is a problem. One way or an other that should be changed, you need to get O as a part of the mainland or at least both build a bridge and also a reason for mainlanders to visit your tiny island, regularly. What it could be? I have seen attempts to bring O to cities, PWT, sprint park races and all, but I am not sure that's the way to go. If I think myself and lets say ARDF, it doesn't matter what kind of brochures they give me, I would never ever go to see their event. But lets say they have a ARDF race but they have couple of regular O courses with regular O map and course setter is know O person, then I might go there to get some O training done. And while I am there, I might look around what a heck are they doing with their geeky gear, even put earphones on and try what it sounds like. Something to tell at work next day.

O grows from running sports family and the closest relative is trail running. So one could think trying something like having a trail race class/course at O meets. A streamered loop couple of times times, maybe with SI timing, and maybe let them punch after each loop to get them nice splits too, even possibility to load gps track to route gadget to get race animation. Marketed as a trail running race organized by O club, nothing more. And you could give them O map before the race so they could see what the course is like - if they can read the map. Like this they could also get introduction to O maps. Some might notice there is something else going on too. If trail racers has early mass start, they might try an actual O course after the run as a warm down if offered and the price is right, just like I might try ARDF. Failing to find any controls wouldn't be a big deal because it's just a warm down after all.

Maybe wrong approach, but something to think about anyway.

...or try to set up easy O courses at some local running events just to show the alternative. Added exposure to a possibly interested and outdooors oriented target group could make a few actually try it...

As someone that has struggled over the years to get her kids and now youth to 4 A meets a year, because we live expensive airplane tickets away from most A-meets, I kind of don't see the point in aiding a first-timer to come to an A-meet, where there are enough people out there who would love to come to one more A-meet a year, but just can't fit it into their budget. And this even more so if the A-meet is in that newcomer's neighborhood, or the person lives on the A-meet-blessed East or West coast.
I know this is kind of an odd thought, but sometimes I wish there were discounts for orienteers who like to go to A-meets, but live in club-deprived or A-meet deprived areas....

I think the contest idea is at first good but really what happens in most contests? Everyone starts out strong, then as one or two pull ahead the incentive for those who are left behind wanes...and then there's one winner, everyone applaudes half-heartedly and goes home. Why not try some kind of incentive program that rewards clubs for sustained efforts or for reaching certain goals? That way every club is in the running AND has a chance to win.

that's probably because the registration for that event has already been operational for some time, during which 140 people already registered, including some that have never participated at an A meet.

I sent personal e-mails to webmasters (or used contact forms on club websites). The number of club websites with updated links to the U.S. A meet calendar increased from 2 to 10 (listed at the end of this lengthy post).

Having a link from the club website to OrienteeringUSA.org is a start (and not all clubs have that). Having a link to the A meet calendar is even better to make folks aware that your club is part of the national scene.

While visiting club websites, I noticed that some have old, outdated links to pages that no longer exist. The most popular links are here (new address listed):

And Robin Shannonhouse is no longer the Executive Director; her personal website (not on "mindspring.com") does not include the Virtual Binder any longer (go to http://orienteeringusa.org/documents for most of the documents she used to post, or use the Search box).

I hope you will urge your club webmasters to take a few minutes to check links, and add an updated link to the Sanctioned Events page.

Regarding the procedure of getting a-meets onto this calendar....

Once an a-meet is sanctioned by O-USA, is O-USA supposed to put the event on its own calendar, or is it the hosting club and event director's responsibility to do so?

(Or more specifically, I'm the event director for a sanctioned a-meet next April, and it's not on this calendar. Was this something I was supposed to do? Per the website, I'll get with Tom to correct the calendar.)

Once an event is sanctioned, the sanctioning committee notifies the U.S. calendar-keepers to update our calendars.
  1. Tom / Sanctioned Events
  2. me / major events and festivals including sanctioned meets
  3. and Mike S / planning calendar

I suspect the fact that the Interscholastics/Intercollegiates event next April is not on that calendar is an oversight on Tom's part, and an e-mail reminder would be appropriate. Copy me, and if you don't get a response I have access to update it too. Do you have a website URL yet, or is just a link to COC's home page appropriate at this time?

And, to make sure we get the info out to all OUSA members, I'll continue to include the calendar in ONA. I get my info from all of the calendars Janet listed above and the sanctioning committee directly. I contact the club if there is something missing (I then send this info along to the others).

I actually think an up in starts vs. a down in memberships is great. There's an indication we're on the way from being a club for ourselves to organizing events for the public.

Now, the financial side of this tendency sure can't sustain itself, so perhaps the urgency of reorganizing the membership model to a combined club/federation membership, with perhaps single-use competition licenses on top of that, should
become apparent.
